Position SummaryThis position provides support to the Intellectual Property Office (IPO) staff including licensing and operations. The Administrative Assistant will, with limited supervision, perform multiple tasks to provide customer-oriented administrative support to relieve managers and professional employees of operational and administrative duties. Performs multiple tasks. Coordinates activities between divisions/departments and outside parties. Contacts personnel at all organizational levels to gather information and prepare reports. Applies knowledge of the organization's policies and procedures pertaining to the administrative support needs of the research program or business unit. Applies judgment and initiative when resolving problems.Essential Duties & Responsibilities* Perform the request intake and post-agreement processing for options, licenses and other IP agreements. * Review requests for accuracy/completeness to ensure basic information is included, follow-up with requester for missing information as needed, and accept the requests into the IPO Innovation Portal. * Upload pertinent documents and file as needed.* Post-agreement processing for options, licenses and other IP agreements, including uploading pertinent documents (if requested). * Fill-in forms and send for signature, store in the records management system.* Provide a wide range of administrative support to the department by assessing priorities to ensure accuracy and timely completion of tasks and ensuring excellent customer service to visitors and colleagues:* Assisting with general correspondence * Digital filing * Provide check entry for Finance group* Support archiving all IPO agreements and patent files* Other administrative duties as needed or assigned * Travel planning and support, including expense reports and other reimbursements. * Assist IPO operations staff with special projects and assignments. * Other duties may be assigned.Position RequirementsEducation & Experience* Minimum three years of specialized administrative experience in a high technology environment. Strong analytical, arithmetic, verbal and written composition skills, and advanced computer skills. Demonstrated experience in leading administrative team efforts. * Familiarity with cloud and web-based audio/video collaboration tools such as Zoom.* Demonstrated experience and discretion when interacting with a variety of individuals and organizations.* Demonstrated experience and flexibility as a team player. Knowledge, Skills & Abilities* Under general supervision, be able to establish priorities and manage multiple projects through to completion in the face of constantly changing priorities. * Excellent time-management and task-management skills. Attention to detail and reliable follow-through.* Ability to work well and stay focused in an environment with a variety of interruptions and distractions.* Excellent customer service skills. Ability to proactively anticipate customer needs.* Demonstrated experience and flexibility as a team player, either as a team lead or a team member.* Strong interpersonal skills, with the ability to interact productively with a broad range of personnel both internal and external to the lab. Ability to establish and maintain cooperative working relationships across multi-functional groups.* Demonstrated ability in creative problem solving, suggesting new ways of providing excellent internal and external customer service.* Comprehends and analyzes difficult customer/operational administrative requirements or problems and identifies creative or original alternatives/solutions. * Demonstrated computer knowledge and ability for learning new technologies/software. Moderate to advanced knowledge using Microsoft Office Suite (Excel, Word, PowerPoint), Adobe Acrobat, Visio, and Google collaborative tools such as Google Mail, Google Calendar, Google Docs, Google Sites, Google Drive, Smartsheet, etc.* Ability to composes unique correspondence/documents requiring advanced composition skills.
