Job Description:

We are seeking a highly motivated Administrative Assistant to support the VP, Employee Relations and Operations, and CEO in our Berkeley, CA office. Ideal candidate must have experience working across teams and building relationships, have a high attention to detail, have the ability to own task and see them through to completion, be self-motivated, proactive and able to change directions quickly. A strong team player is critical, as the individual will work with team members across a number of departments and at all levels whether that be in person, in a hybrid environment or remotely. To be successful, the individual must be comfortable adapting to different ways of connecting with people, both in person and virtually.
Additionally, the individual welcomes new challenges and displays strong problem-solving skills. Manages and monitors the needs of the office while improving the accuracy as well as efficiency, administrative duties and general office support, be a self-starter, is passionate about delivering strategic value and wants to work in a fast-moving environment.
This position is located in our Berkeley, CA office, and we do not provide relocation assistance.
KEY RESPONSIBILITIES, include but are not limited to:

  • Maintains employee confidence and protects operations by keeping human resource information confidential.
  • Ability to prepare shipping labels (FedEx, UPS, USPS) for domestic and international packages.
  • Provide customer services to organization employees.
  • Provide support for talent practices, including recruiting, hiring and programs to promote employee engagement and retention
  • Assist with various research projects and/or special projects and follow-ups.
  • Assist with any compliance government programs set forth by local, state or federal agencies.
  • Assist with processing mail and packages.
  • Assist with employee benefits and incentives.
  • Assist with facility needs of the company, including security, cleaning, and building management needs.
  • Schedule meetings while demonstrating flexibility and problem-solving ability to adjust or prioritize schedules based on last-minute changes.
  • Coordinate travel arrangements.
  • Process employee expense reports.
  • Plan and coordinate company and team activities and events (lunches, team meetings and social events).
  • Partner with hiring managers to welcome new team members and make them feel connected.
  • Organize, prioritize and coordinate multiple work activities with demonstrated ability to meet deadlines.
  • Act as a liaison for relaying and exchanging information with others, including senior management, executives, clients, contractors and vendors.
  • General office and clerical support -
    QUALIFICATIONS & REQUIREMENTS:
    • Highly proficient in Microsoft Office, Google Sheets and Docs
    • 2-years' experience providing administrative support
    • Adapts well to changing plans and priorities; deals comfortably with ambiguity
    • Ability to work independently and with teams, and assume additional responsibilities as required
    • Ability to multi-task, prioritize and meet right deadlines
    • Discretion in dealing with confidential information
    • Must have strong attention to detail
    • Must possess strong interpersonal skills; ability to interact professionally with a diverse group of team members, executives, managers, contractors, vendors and clients
    • Excellent written and verbal communication skills
    • Strong ability to follow-up and problem solves
    • Strong computer skills
    • Ability to work confidentially in a rapid changing, fast-paced and results-oriented environment where a high degree of flexibility id required
    • Have a roll-your sleeves up, all hands-on deck, positive outlook
    • Work overtime occasionally, including rare weekends and holidays
    • AA or Bachelor's degree, preferred
    • Experience using Adobe CC, plus
