for an Experienced Executive Office Administrator to support the
Vice President and Chief Engineer, Phantom Works located in
Berkeley, MO.The ideal candidate has experience supporting senior
executives, possesses a high degree of professionalism, and
discretion, is steady in high-pressure, fast-paced environments.The
selected candidate will be a team player, proactive and have the
capability to adjust priorities effectively while working in
concert with the Chief Engineers direct office and staff. Ideally,
they will also be capable to quickly familiarize themselves at a
high level with new issue areas as well as the capability to pivot
from supporting work in one issue to the next.Position
Responsibilities:
- Establishes and maintains effective working relationships with
internal and external customers, co-workers and peers, while
maintaining the highest level of confidentiality with sensitive
information and while working under tight and often competing
deadlines
- Assists in planning, coordinating, and implementing logistics
for visiting Boeing senior executives and board members
- Processes and screens incoming and outgoing communication and
correspondence to ensure proper dissemination of information
- Prioritizes, manages and schedules time and availability for
most efficient use of time
- Coordinates domestic and international business travel,
monitors traveler logistics, generates team expense reports, and
reconciles corporate credit card charges to ensure timely and
accurate reimbursement
- Creates, edits, and maintains electronic and written
communication
- Coordinates with the appropriate focal(s) to support the
acquisition and maintenance of resources
- Orders and maintains office supplies
- Promotes teamwork and value-added ideas to management and
administrative staff
- Works under minimal supervision
- Works outside of normal business hours on occasion to support
statement of work
- Travels to quarterly offsite meetingsThis position is expected
to be 100% onsite. The selected candidate will be required to work
onsite at the Berkeley, MO location.Export Control:This position
requires the ability to obtain a U.S. Security Clearance for which
the U.S. Government requires U.S. Citizenship. An interim and/or
final U.S. Secret clearance Post-Start is required.Basic
Qualifications (Required Skills/Experience):
- 5+ years of experience as an Office Administrator supporting an
Executive Leader.
- 10 + years of experience and proficiency in Excel, Word,
Outlook and PowerPoint and the ability to learn in house
systems
- 3+ years of experience coordinating and processing business
travel arrangements utilizing Concur or a similar travel and
expense management program; generating expense reports for business
travel and reconciling corporate credit card charges to ensure
timely and accurate reimbursement
- 5+ years of experience in partnering with executives to help
develop and manage the operating rhythm/cadence for executive
leadership teams
- Experience working within a fast-paced team environment which
required strong communication skills to frequently interact with
Program Leadership, internal and external customer representatives
and development teams
- Experience supporting and engaging with executives and their
leadership teams to coordinate priority needs, support internal and
external events, and provide effective travel arrangementsPreferred
Qualifications (Desired Skills/Experience):
- Bachelor's degree or higher
- Experience providing administrative support to multiple
customers such as executives, managers, and staff members
- Experience with written and verbal communication across diverse
audiences
- Demonstrate analytical and problem-solving skills
- Adeptness in functioning as a liaison between customers and
senior executives as well as superior work prioritization and
multi-tasking abilities
- Excel at creating and sustaining effective working
relationships with internal coworkers, executives and external
audiences and partners while maintaining the highest level of
confidentiality regarding sensitive information
- Personable and professional phone demeanor; speak clearly,
professionally and with decorum
- Mature and independent judgment, takes initiative, and is
flexible; highly responsive to the needs generated by the
day-to-day activities of management and the organization; planning
tasks; and leading in a team environment.
- A high attention to detail, self-starter, results drivenTypical
Education & Experience:Education/experience typically acquired
through basic education (e.g. High School diploma/GED) and
typically 7 or more years' related work experience or an equivalent
combination of education and experience (e.g. vocational
school/Associate+5 years' related work, Bachelor+2 years' related
