Departmental Overview

Summer Sessions, Study Abroad, Lifelong Learning & University Extension (SSALLEX) is the extended education division of the University of California, Berkeley and an essential part of the University's mission to extend the research and scholarship of UC Berkeley to a global community. SSALLEX is a vibrant and dynamic organization that enables more than 60,000 visiting, UC and potential Cal students; parents, faculty, academic units, international business partners, and central campus service providers participate in providing more than 2,000 summer courses, fall freshman programs, study abroad experiences, global internships, and year-around programs or courses, lectures, special events and interest circles for older adults.

Responsibilities

Coordinates first-touch advising services for Berkeley Study Abroad. Refers students seeking international academic opportunities on the UC Education Abroad Program, Berkeley Global Internships, Berkeley Summer Abroad, and Independent study abroad programs to appropriate resources at all stages of the student lifecycle. The position is also critical to operational projects of Berkeley Study Abroad, with a particular focus on application intake and review for UCEAP programs.

First Touch Advising & Referral

• First touch advising via email, phone, virtual front desk/drop-in, walk-ins.
• Provides general advice to students on UC Education Abroad Program, Berkeley Global Internships, Berkeley Summer Abroad, and Independent study abroad programs. Monitors and evaluates students' completion of requirements. Independently reviews and processes academic requests.
• Refers students seeking international academic opportunities on the UC Education Abroad Program, Berkeley Global Internships, Berkeley Summer Abroad, and Independent study abroad programs to appropriate resources at all stages of the student lifecycle.
• Operational coordination of the Peer Advising program, including recruitment and hiring, development and maintenance of peer weekly schedules, peer training meetings, tracking of project-based assignments, scheduling peers for events, and assessment of peer performance.
• Uses general knowledge of campus department, school, or college policies on study abroad participation to advise or refer students on how to determine requirements that may be fulfilled by courses taken abroad.
• Responsible for training, and is the first point of contact, for paraprofessional staff engaged in first touch advising.
• Responsible for assignment of paraprofessional project based work.
• Triage of visitors to the Study Abroad Office (in-person or virtual front desks)Campus.
• Travel Approvals -provides preliminary advice to departments seeking approval for international programs, and coordinates materials required for committee approval.
  Project Management and Project Administration
  
  • Manages all aspects of application intake/preliminary review process of UCEAP applications (approximately 2000 applications per year), including performing application reviews, and providing training and oversight of paraprofessional staff.
  • Develops and updates job aides for application intake or other operational procedures.
  • Manages annual review of application requirements and documents, tracks changes needed to forms and process.
  • Provides support to staff in using our application system (Slate Technolutions), for example creating queries and rosters, formatting, scheduling and sending mailings, and overseeing event tracking management.
  • Tracks completion of campus pre-departure requirements and coordinates follow-up.
  • Coordination and maintenance of rosters shared with the University Health Service, Financial Aid Office, Colleges and Schools, and the Office of the Registrar.
  • Ad hoc assignments from Berkeley Study Abroad advising and management staff.
    Recruitment and Outreach
    
    • As a member of a team of advisers, prepares and participates in campus-wide recruitment activities.
    • Manages Peer schedules for event participation.
    • Coordinates with the Marketing team to assemble print collateral or other signage for events.
      Committee and Workgroup Service
      
      • Serves on Systemwide UCEAP, BSA, and SSALLEX committees and workgroups, and performs other duties as assigned.
        Required Qualifications
        
        • Basic knowledge of advising and counseling techniques, majors, colleges and schools, and overseas universities' structures and academic programs.
        • Basic knowledge of college/school/department policies, procedures, and requirements.
        • Skills in judgment and decision-making, problem-solving.
        • Abilities in problem identification, reasoning, and ability to solve routine problems.
        • Strong written and verbal communication skills, including active listening, and occasional public speaking.
        • Ability to manage multiple tasks with a demanding workload under deadline constraints with frequent interruptions.
        • Multicultural competencies; ability to work with diverse populations.
        • Ability to work successfully in a team environment.
        • Experience with or ability to learn Slate Technolutions.
          Education Level
          
          • Bachelor's degree in a related area and / or equivalent experience/training.
            Preferred Qualifications
            
            • Intermediate skills with Excel and Google Sheets.
            • Knowledge of or ability to learn University-specific computer application programs and pertinent databases.
            • Experience studying, living, or working abroad.
            • Demonstrated skill in project management and experience with Asana.
            • Experience in international education administration, preferably in a study abroad office.
            • Two years of experience in records management, statistical, database, and word processing software.

              Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
              
              The budgeted salary or hourly range that the University reasonably expects to pay for this position is $60,000 - $75,000 ($28.73 - $35.91 an hour)
              
              This is a 100% non-exempt career position paid bi-weekly with full benefits.
